Medsolve

SharePoint Rebuild Project

Medsolve, a healthcare recruitment and consultancy firm, faced significant operational disruption due to a dysfunctional SharePoint environment. The system—implemented by a previous provider—was unreliable, prone to regular breakdowns, and lacked the necessary structure for effective document sharing and collaboration. This created productivity bottlenecks and hindered day-to-day operations, particularly in file sharing and team coordination.

Project Objectives

The objective was to restore and enhance Medsolve’s document management and collaboration capabilities through:

  • Rebuilding the SharePoint site from the ground up.
  • Migrating all data from the legacy SharePoint system to the newly built environment.
  • Establishing user access by linking all staff to the new SharePoint site via OneDrive.
  • Training all users on accessing SharePoint through File Explorer.
  • Developing a comprehensive beginner’s training course to ensure smooth onboarding and long-term usability.

Implementation

The project was carried out in the following phases:

  • Assessment & Planning: Audited the existing SharePoint structure to identify salvageable components and plan the migration strategy.
  • Site Rebuild: Constructed a new, modern SharePoint site tailored to Medsolve’s business needs and security protocols.
  • Data Migration: All critical data and documents were securely transferred to the new platform with minimal downtime.
  • User Integration: Configured OneDrive links to seamlessly connect users to the SharePoint site, enabling quick and intuitive access.
  • Training & Support: Conducted hands-on training sessions, delivering a clear, easy-to-follow beginner’s session to empower all team members, regardless of technical proficiency.

Results

  • Successful Deployment: The new SharePoint site was launched smoothly with zero data loss and minimal disruption to business operations.
  • Positive User Adoption: Training was well received, with users reporting increased confidence and ease of access through File Explorer.
  • Improved Reliability: Medsolve now operates with a stable, fully functional SharePoint environment that supports efficient document management and collaboration.
  • Sustainable Usage: The provided user training continues to serve as a valuable reference tool for new staff and ongoing usage.
